You could have a hand in coordinating Association of Former Students events for Aggies of all ages. From current students to former students to Aggie friends and families alike, The Association's Coordinators of Events have a direct impact on the experiences of all visitors to the Clayton Williams, Jr. Alumni Center.

The Coordinators of Events will provide consultations for events in the Clayton W. Williams, Jr. Alumni Center as well as events The Association of Former Students hosts onsite and offsite to ensure that all events meet or exceed our expected premier standards.

Coordinator of Events - Former Student Emphasis

You will serve as the liaison between the Events team and the Former Student Programs team, with a particular focus on the following types of events:

  • Events hosted by The Association of Former Students' Former Student Programs team.
  • A&M Club, Class, and Constituent Networks events.
  • Events hosted by entities within the A&M System and Texas A&M University.

You will:

  • Manage logistics for all Club, Class and Constituent Network events to include, but not limited to: offsite venue and vendor coordination, catering, set needs, audio/video, custodial, landscape services, and security.
  • Maintain the calendar of events and implement a system that enables and anticipates long-term planning and effective event management for all internal and external meetings, conferences and events.
  • Manage all in-house décor, specialty décor, and table arrangements for Association events.
  • Manage registration for all guests attending the Distinguished Alumni Gala to include creating the guest list, mailing the save the date cards and invitations, and table placement for all 800+ guests attending the Gala.
  • Serve as a supervisor for the On Call Events Student Assistants to ensure that setup, tear down, and event assistance is executed in a timely and professional manner.

 

Coordinator of Events - Current Student Emphasis

You will serve as the liaison between the Events team and the Campus Programs team with a particular focus on the following types of events:

  • Events hosted by The Association of Former Students' Campus Programs team.
  • Events hosted by recognized student organizations of Texas A&M University.

You will:

  • Manage logistics for Aggie Ring Day, GatheRing, The Next Tradition and any other Campus Program events to include, but not limited to: scheduling of police and security officers, coordination of custodial and landscape services, securing and managing the setup/tear down of all in-house equipment, securing outside equipment rentals, securing catering, and managing event flow during Ring Day.
  • Collaborate with Facilities, Information Technology and other appropriate teams to provide a premier experience for all events. 
  • Perform administrative duties related to events, including completion of relevant forms and maintenance of event-related databases.
  • Manage the student assistants on the Events Team, including hiring, training, scheduling and supervising.
