Full-Time Positions
FORMER STUDENT PROGRAMS ASSISTANT
ESSENTIAL DUTIES
Assists in the compiling and production of class communications resources and newsletters. Specific duties include:
Help familiarize Class Agents with communications resources at their disposal.
Solicit, process, and communicate information from Classmates to the Class Agents to be communicated out to their respective classes through social media and newsletters.
Editing of content for grammatical and biographical errors.
Proofing of layout and design.
Tracking of production schedule.
Communication with Class Agents on newsletter status
Assists in the planning, operations and follow-up of class reunions.
Communication with vendors to identify and coordinate resources required to plan and deliver events.
Collection and processing of registration forms and fees.
Communication of address updates received through registration forms to Records Department.
Production of nametags, rosters and other reunion collateral.
On-site event support for reunion.
Fostering and strengthening of relationships with former students.
Maintenance of Class Reunion and Club files.
Collaboration with Web and Communications teams to promote reunions on-line and in Association publications
Provides support to Club Programs activities.
Maintenance of Club related files.
Assistance with Muster and Club communications
Assistance with Muster-related activities –communications, labels, supplies, phone calls, etc.
Occasional on-site event support.
Provides general support to the activities of the Former Student Programs area. Specific duties may include, but not limited to:
Communication with Class Agents and club officers by phone, fax, email or in person to familiarize them with resources to connect and engage their respective constituencies.
Provision of general clerical (copying, filing and faxing) and scheduling support for Former Student Programs.
Coordination of Intern and student worker schedules.
Coordination of Class and Club e-communications with Association IT personnel and Class and Club volunteers.
Assistance as needed with Travel Program events and activities.
Attendance and participation in Class Agent Advisory Committee Meetings.
Compile Quarterly class and daily silver taps reports.
Participates and provides input on various Association-wide activities which may include:
On-site event support for Aggie Network Leadership Conference.
Participation on internal event and task committees.
Participation in Association events including, but not limited to, Game day, TNT, Ring Delivery, Reunions, and Tailgates, as needed.
Represents The Association as needed at events.
Acts as an ambassador for The Association by meeting Team Expectations; supporting The Association’s fundraising, branding, and communications efforts; and fostering relationships with former students, current students, parents, faculty, staff and friends of Texas A&M.
Occasional other duties as assigned.
REQUIREMENTS
High school graduation, or equivalent, supplemented by training in the use of microcomputers and allied software. Some entry-level experience.
PREFERENCES
Bachelor’s degree from Texas A&M University. One to two years experience.
PHYSICAL REQUIREMENTS
Ability to lift and carry up-to-25 lbs. (Mainly Reunion supplies). Frequent use of video display terminal.
OTHER
Computer Skills Required, knowledge of Microsoft Word, Excel, strong communication and people skills, and very organized, outgoing and creative individual.
Knowledge of Adobe PageMaker Adobe PhotoShop, Adobe Illustrator, and ability to set-up HTML emails is preferred.
Part-Time/Student Assistant Positions
STUDENT ASSISTANT - VIDEO PRODUCTION
Creates video loops that will be shown on the Clayton W. Williams, Jr. Alumni Center’s Huddleston Video Wall during normal business hours.
Edits existing video material into content targeted for audiences attending Association events
Creates slide shows from The Association’s image library for Association events and regular business hours programming
Reviews visitor recordings generated at the Alumni Center’s Memories exhibit, and uploading appropriate content to the exhibit
Assists with tagging and managing existing video inventory
Assists with development and execution of a broadcast calendar for the Huddleston Video Wall at the Alumni Center
SECONDARY DUTIES
Populates the Alumni Center’s Network exhibit by creating video and slide show stories
Creates and edits new video material from events at the Alumni Center and on campus
Assists with Association events
Other duties as assigned
REQUIRED QUALIFICATIONS:
Demonstrated proficiency in either a Mac-based or PC-based video editing software package
Ability to integrate video and audio into MS PowerPoint
Proficiency in MS PowerPoint
Ability to capture, process and manage digital video from source materials
Ability to take raw video and still images and “story tell” in a way that meets marketing communications objectives
Functional knowledge of how to use transitional elements in video, such as dissolves, fades, and proper use of typeface in text frames
Knowledge of Texas A&M traditions and history
PREFERRED QUALIFICATIONS
Creating and editing of professional quality video from conception to finished edited production (Please be prepared to demonstrate and discuss your work if selected for an interview).
The ability to pay attention to detail, to meet deadlines, to figure out how to accomplish tasks without specific step-by-step instructions and close supervision.
Strong time management skills
HOURS
20 hours per week (Monday-Friday; 8am to 5pm). Due to the timing of this posting and the need to develop proficiency in the role, only students who plan to graduate after May 2010 will be considered.
